WHAT TO CONSIDER WHEN BOOKING A VENUE

Choosing your venue is often the first things that comes to mind when planning an event and this is because your venue is the blank canvas where your event will be built and styled. This sets the foundation and tone for the flow of your event.

We’ve had the pleasure of working in so many amazing venues here in Australia and around the world so we’ve round up our top things you should consider when choosing where to host your event.

DECIDE ON YOUR STYLE

Discuss with your partner the type of event you envision. How does the space fit in with your overall vision? Your event stylist or planner will be able to support you with this decision, by assessing if the architecture and bones of the venue will work for your vision. Furthermore, this helps guide how much needs to be done to the space to align with your ideas. Whether you prefer a rustic barn, an elegant ballroom, a beachfront setting, or a garden, identifying your preferred wedding style will narrow down your options

CONSIDER YOUR GUEST LIST

Create an estimated guest list early on to determine the size of the venue you'll need. Ensure the venue can comfortably accommodate your expected number of guests and offers suitable amenities like parking, restrooms, and seating arrangements. This will dictate the amount of space you will require to make the space feel a certain way - for example, a large venue with an intimate guest list can make the space feel empty and requires more work to fill out, whereas having too many guests in a small space can impact the guest experience.

UNDERSTAND EACH VENUE’S OFFERINGS

Take note of the overall ambience of each venue but also pay attention to the important details such as the layout, lighting, acoustics and facilities they offer. Consider the convenience and accessibility for your guests, including proximity to accommodations and transportation options. Find out what services are provided by the venue, such as catering, decorations, and audiovisual equipment. Ask about any restrictions or limitations, such as noise curfews, preferred vendors, or decor restrictions that may affect your plans.

CONSIDER WEATHER AND SEASON

Keep in mind the time of year you plan to get married and how it may impact your venue choice. If you're having an outdoor wedding, ensure there's a backup plan in case of inclement weather.

REVIEW THE CONTRACT AND COSTS INVOLVED

Once you've narrowed down your options and found a venue you love, carefully review the contract and ensure you understand all the terms, costs, and cancellation policies. Take note of any additional fees, such as security deposits or overtime charges.

Ultimately, remember to have fun, take your time, explore your options and trust your instincts. If in doubt, your planner or stylist will always be there to provide guidance on which venue will align with your vision, budget and guest needs. This is the first of many steps as part of your planning journey and enjoying every step of the way is key to happy planning.

We’ve also decided to put together our version of our venue checklist so you can have this handy on your next venue visit.

Enjoy!
